GWS Parts (GWS Printing Systems B.V.) takes your privacy seriously. This policy explains what personal data we collect, why we collect it, how we use it, and what your rights are under the General Data Protection Regulation (GDPR). We have written this to be clear and specific to what we actually do — not a generic template.

What data we collect and why

We only collect data you provide to us directly, or data that is generated automatically when you visit our website.

Enquiry and contact forms

When you submit an enquiry through our website — for example requesting a quote or asking about a part — we collect:

Your name and email address
Phone number and company name (if provided)
City, country and company type (if provided)
The content of your message

Legal basis: Legitimate interest (responding to a business enquiry you have initiated). We retain this data for up to 2 years to allow follow-up on ongoing enquiries and orders.

If you opt in to our newsletter on a contact form, we store your email address for the purpose of sending product updates and promotions.

Legal basis: Consent. You can withdraw consent at any time by emailing parts@gws.nl.

Website analytics

We use Google Analytics to understand how visitors use our website — which pages are visited, how long sessions last, and where visitors come from. This data is aggregated and anonymised; we do not use it to identify individuals.

Legal basis: Legitimate interest (improving our website). Google Analytics data is processed in accordance with Google's Privacy Policy.

Server logs

Our web server automatically records IP addresses and browser information for security and technical purposes. These logs are retained for a maximum of 30 days.

The gwp-* cookies are stored in your browser's localStorage and never transmitted to our server. They exist solely for your convenience. You can clear them at any time via your browser settings.

We do not use advertising cookies, tracking pixels or any third-party marketing cookies.

Who we share your data with

We do not sell, rent or trade your personal data. We may share it in the following limited circumstances:

Within the GWS group — GWS Parts is part of the manroland Goss web systems group. Enquiries may be shared with GWS Printing Systems colleagues for fulfilment purposes.
Google — for Analytics and reCAPTCHA, as described above.
Legal obligation — if required to do so by law or by a competent authority.

Your rights under GDPR

As a data subject under GDPR you have the following rights:

Right of access — you can request a copy of the personal data we hold about you.
Right to rectification — you can ask us to correct inaccurate data.
Right to erasure — you can ask us to delete your data, subject to any legal retention obligations.
Right to restriction — you can ask us to limit how we use your data.
Right to object — you can object to processing based on legitimate interest.
Right to data portability — you can request your data in a structured, machine-readable format.
Right to withdraw consent — where processing is based on consent (e.g. newsletter), you can withdraw at any time.

To exercise any of these rights, contact us at parts@gws.nl. We will respond within 30 days.

If you believe we have not handled your data correctly, you have the right to lodge a complaint with the Dutch data protection authority: Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).

Data retention

We retain personal data only as long as necessary:

Enquiry and contact form data: up to 2 years
Newsletter subscriber data: until you unsubscribe
Server logs: maximum 30 days
Google Analytics data: 26 months (Google's default retention)

Links to other websites

Our website contains links to third-party websites (for example manrolandgoss.com). Once you follow a link to leave our site, this privacy policy no longer applies. We are not responsible for the privacy practices of other websites.

We may update this policy from time to time. The date at the top of this page reflects when it was last reviewed. Significant changes will be noted here.
